Introduction

The ITBT Department houses the sectors of IT (Informational Technology), BT (Biotechnology), AVGC (Animation, Visual Effects, Gaming and Comics) and ESDM (Electronic System Design and Manufacturing)
The government was looking to engage a technology for its flagship event, Bengaluru tech Summit 2019 which was organised at Bangalore Palace.

Requirement

GOK was looking to engage a technology for its flagship event – Bengaluru Tech Summit 2019 to cater to event experience including registrations of all physical participation, exhibiting top companies and managing access control for the 3 days of event.
The event of Bengaluru Tech Summit 2019 was scheduled for 3 days with a total expected participation of 10,000+ delegates & 100+ exhibiting companies.

Challenge

The organising committee wanted an experience for the on-ground management of attendees from their check-in to badge collection and access control at all other activities. The number of physical participation was estimated to be 10,000+ for the inauguration and they were looking for a solution to ensure smooth attendee experience with detailed footprint analytics.
Chkdin were approached by the committee to give a solution which can ease out the management problem and deliver a smoother experience for all attendees.

Solutions

Chkdin offered its unique QR code based hybrid solution for the entire management. A QR code was to be generated for all participants at the time of online registration and the on-ground execution was planned using the same.
Chkdin’s access control technology was extensively used for monitoring the attendance at sessions and detailed profiling of people at VIP zone.

Execution

The on-ground implementation of the technology was executed at multiple interactions:

Online registration : A unique QR code was sent to the registrant.

On site check-in : On scan of QR code at the check-in counters a unique ID card/badge was automatically printed from the kiosk for each participant.

Sponsor Lead Capture: All sponsors had an application to scan the ID cards of the delegates visiting their booths to capture leads and process the data points as per their requirements. This eliminated the post-event lead collation job.

Access Control: The QR code technology was then used at multiple access points to filter the right profile for each sessions, meeting rooms, VIP zone and ensure safety and security.

Summary

A total of 13823 physical audience had participated in the event over the 3 days where the attendees were managed without any issues and a footprint analytics of the activities for the entire event was captured and delivered to the organising committee.
