Introduction

The Ministry of Electronics and Information Technology (MeitY) is an executive agency of the Union Government of the Republic of India. It was carved out of the Ministry of Communications and Information Technology on 19 July 2016 as a standalone ministerial agency responsible for IT policy, strategy and development of the electronics industry.
MeitY was looking to engage a technology for its launch event of India Semiconductor Mission with SemiconIndia 2022.

Requirement

MeitY was looking to engage a technology for its launch event – SemiconIndia 2022 to cater to event experience including registrations of top global semiconductor leaders for physical participation, exhibiting top semiconductor companies and streaming of 3 days conference to global audience.
The event of SemiconIndia 2022 was scheduled for 3 days with a total expected participation of 1500 delegates & 11060 virtual participants.

Challenge

The organising committee wanted an experience for the on-ground management of attendees from their check-in to badge collection and access control at all other activities. The number of virtual participation was undefined and they were looking for a solution to extend the in-person event to global audience.
Chkdin were approached by the committee to give a solution which can ease out the management problem and deliver a smoother experience for all attendees.

Solutions

Chkdin offered its unique QR code based hybrid solution for the entire management. A QR code was to be generated for all participants at the time of online registration and the on-ground execution was planned using the same.
Chkdin’s hybrid streaming platform was used to ensure smooth streaming of content to virtual audience.

Execution

The on-ground implementation of the technology was executed at multiple interactions: interactions:

Online registration : A unique QR code was sent to the registrant.

On site check-in :
On scan of QR code at the check-in counters a unique ID card/badge was automatically printed from the kiosk for each participant.

Sponsor Lead Capture : All sponsors had an application to scan the ID cards of the delegates visiting their booths to capture leads and process the data points as per their requirements. This eliminated the post-event lead collation job.

Exhibition Wall : A wall with QR codes of each exhibitor was put up at the venue for attendees to scan and access information of the booths.

Virtual Streaming : The 3 days conference was live streamed on a single link to all virtual participants across the globe where they could watch the sessions, interact with questions and also access all sponsors information.

Summary

A total of 12000+ global audience had participated in the event over the 3 days where the attendees were managed without any issues and a footprint analytics of the activities for the entire event was captured and delivered to the organising committee.
